The Export/Import functionality allows you to add or update staff in bulk using an Excel template.
Note: This is useful for updating multiple staff members at once or adding new staff.
Go to Users then select Staff Members.
Use the Export and Import Users buttons to perform bulk actions.
Click Export.
Select Staff Import Excel Sheet (All Staff).
Click Export.
An Excel spreadsheet will download with all current staff records and fields ready for updating.
Open the exported spreadsheet.
Update the fields as needed. Key fields include:
First Name / Last Name – Staff personal details
Login Name – Usually set to the staff member’s email
Email – Staff email address
Password – Optional; leaving blank allows staff to reset via Forgot Password
Line Manager – Must match exactly as in the system
Job Title / Initials
Rights Group – Access level (e.g., Teaching, Support)
Observer – Yes if the staff member performs observations
CPD Coordinator – Yes if the staff member can assign CPD
Role – Determines access to standards, objectives, monitoring (e.g., Teacher, UPS Teacher, Leadership)
Department – Staff department
Not Observed – Leave blank; Yes prevents observation
USR ID – Unique identifier for existing staff (do not change)
Save the spreadsheet once all updates are complete.
Enter new staff details at the bottom of the spreadsheet.
Leave the USR ID field blank. The system will generate a User ID automatically during import.
Navigate to Users then select Staff Members.
Click Import Users.
Click Choose File and select your updated spreadsheet.
Click Validate to check for errors.
If validation fails, the system will identify the row and reason. Correct and revalidate.
Once validation is successful, click Import Staff.
Existing staff will be updated.
New staff will be added automatically.
